A) Terms & Conditions for Parents / Carers (Booking & Payment)

1. Booking & Payment

1.1 All Easter School sessions must be booked in advance via the designated online booking system.
1.2 Full payment is required at the point of booking. A place is not confirmed until payment has been received.
1.3 Bookings are accepted on a first-come, first-served basis and are subject to availability.

2. Session Numbers

2.1 Each session requires a minimum number of pupils to run and has a maximum capacity.
2.2 Where demand exceeds capacity, the school may open additional sessions where staffing permits.
2.3 If minimum numbers are not met, the school reserves the right to cancel the session. In this case, a 
full refund will be issued.

3. Cancellations, Refunds & Session Swaps

3.1 More than 28 days before the first booked session:
A full refund will be issued.

3.2 Between 7 and 28 days before the first booked session:
No refunds will be given. Parents may request a 
session swap, subject to availability. Session swaps are not guaranteed.

3.3 Within 7 days of the first booked session:
No refunds, credits, or session swaps are available.

3.4 Exceptional circumstances may be considered at the school’s discretion but do not guarantee a refund or swap.

3.5 By booking a place, parents acknowledge that Easter School staffing, materials, and rooming are pre-allocated and that this policy is in place to ensure sessions run at the highest possible quality.

4. Staff & Quality Assurance

4.1 All sessions are delivered by St Columba’s teachers.
4.2 Session fees include teacher preparation time and bespoke Easter School materials.
4.3 Materials are developed specifically for Easter School and are separate from standard classroom resources.
4.4 The school reserves the right to make changes to staffing where necessary.

5. Intellectual Property & Use of Materials

5.1 All Easter School resources remain the intellectual property of St Columba’s School.
5.2 Materials are provided for the 
sole use of the pupil attending the session.
5.3 Materials must not be copied, shared, distributed, uploaded, or used by tutors or third parties.
5.4 Breaches may result in withdrawal from the programme without refund.

6. Behaviour & Removal

6.1 Pupils are expected to behave respectfully and follow all staff instructions.
6.2 The school reserves the right to remove a pupil from a session where behaviour compromises safety or learning.
6.3 No refund will be issued in such circumstances.

7. Medical, Dietary & Support Information

7.1 Parents must disclose any relevant medical conditions, allergies, or access needs at the time of booking.
7.2 St Columba’s is a 
nut-free school. No food or products containing nuts may be brought onto site.
7.3 Easter School sessions run to standard timings and 
do not include additional time arrangements.

8. Safeguarding

8.1 All safeguarding policies and procedures apply throughout Easter School.
8.2 Pupils must be signed in and out according to published procedures.

9. Liability

9.1 The school cannot accept responsibility for loss or damage to personal belongings.
9.2 Parents are responsible for ensuring safe arrival and departure of pupils.

B) Terms & Conditions for Pupils (Attendance & Participation)

1. Arrival & Attendance

1.1 Arrive on time for all sessions and follow sign-in procedures.
1.2 Inform a member of staff immediately if you feel unwell or unsafe.

2. Behaviour Expectations

2.1 Treat staff and other pupils with respect at all times.
2.2 Follow instructions and contribute positively to learning.
2.3 St Columba’s is a 
phone-free school. Mobile phones must not be used unless a teacher explicitly allows it.

3. Use of Easter School Materials

3.1 Notes and worksheets provided are for your personal use only.
3.2 Materials must not be shared with others or posted online.
3.3 These resources are created specifically for Easter School and help ensure fairness for all pupils.

4. Equipment & Preparation

4.1 You will be contacted closer to the time with:

  • A list of any materials you need to bring
  • Questions about which topics you have already covered
  • Any additional preparation guidance

4.2 Take care of your personal belongings during sessions.

5. Safety

5.1 Follow all staff instructions.
5.2 Stay within designated areas of the school.
5.3 Report anything unsafe immediately.

6. Participation

6.1 Easter School sessions are active and focused.
6.2 Ask questions, engage fully, and make the most of the support on offer.
6.3 If you are unsure or worried, speak to your teacher — they are there to help.
